This Is Why Digitized Yearbooks Is The Best

By Donald White

During our school lives, we get a photo of ourselves taken every year. All these pictures are then compiled into a yearbook for every class. We get to take a copy of the yearbook home and we get to remember the people we shared a classroom with for a long time to come. This rite of passage has however been made easier by digitized yearbooks.

One of the most annoying things is having to leave the work you were busy doing to start looking for some document. Case in point, you are a secretary at a school and someone comes looking for information on a student that cleared school a long time ago. Looking for the yearbook may take up time that you would have used doing something more productive.

There is an increased cost efficiency. In the past, people had to print out the pictures and print them on to the yearbooks. There were a lot of students so it cost a lot to print out notebooks for the whole school. You also needed money for the maintenance of the books which was another cost. With digitized notebooks, there is no such thing as printing and maintenance cost.

There is improved accessibility. In the past, even looking for something in the library was somewhat hectic. You had to walk through the library and look through a ton of books. Nowadays all you need is to type the keywords of any information you may need and it pops right up. You can also be able to do this from anywhere as long as you can access the internet.

It is a way of beefing up security. The good thing with the digital age is that you can put up firewalls to protect sensitive information. It may not seem so but a yearbook is a sensitive document. A stalker may find their prey in that very yearbook. This way, the contents of the yearbook are protected and only the authorized people can be able to access the information.

The digital system allows for preservation of the information in the yearbook. This is because it is soft copy and it is not manually handled every now and then. With time, the paper starts to degrade and the ink starts to fade away. With the computerized system, however, each time you look in the yearbook, it is the same as when it was uploaded.

Try to imagine how things happened in the past. They used to have a filing system whereby they store information on everything that they need. In the event a catastrophe like fire or water struck, everything would be lost. This is however not the case the new digital age. Lightning may strike down the computer systems but the information can be retrieved from the cloud.

Space is one thing that is never enough. For a school, you have academic books in the library which are so many and at the same time, you have several copies of yearbooks from different years. This leads to stuffiness. With a digitalized system, however, you only need a monitor to display everything you need.
